Privacy Policy

ClearMind ("we," "us," or "our") is a productivity application that helps you capture, organize, and act on your thoughts and tasks. This Privacy Policy explains what information we collect, how we use it, and what choices you have.
By using ClearMind, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the service.
1. Information We Collect
Account information
When you create an account, we collect:
- Email address — used for authentication, account recovery, and service communications
- Name — used to personalize your experience
- Authentication credentials — depending on your sign-in method (email/password, Google OAuth, or Apple OAuth)
Content you create
The core of ClearMind is the content you provide. This includes:
- Thoughts and tasks — text you capture, including raw input and AI-generated summaries
- Notes — rich text notes attached to your thoughts
- Action items — tasks, timeframes, and reminders you set
- Areas of life — the categories you use to organize your content (e.g., Work, Health, Personal)
- Goals — goals you create or accept from AI suggestions
- Chat messages — conversations you have with the AI planning assistant
Voice input
ClearMind supports voice capture using speech-to-text technology. Your spoken words are converted to text on your device or via platform speech services. We do not store audio recordings. Only the resulting text is saved as a thought.
Google Calendar data
If you choose to connect your Google Calendar, we access your calendar events to help the AI provide scheduling context. This connection is optional and can be disconnected at any time.
Usage data
We collect basic usage information to keep the service running and improve it, such as which features you use, error logs, and device/browser type. We do not use third-party analytics trackers.
2. How We Use Your Information
We use your information to provide and improve the ClearMind service:
- AI categorization — Your thoughts are processed by AI to automatically assign them to the right area of your life and suggest timeframes
- AI summarization — Longer inputs are summarized to make them scannable, while your original words are always preserved
- AI chat — When you use the Plan screen, your thoughts and tasks provide context so the AI can give relevant, personalized advice
- Content extraction — When you share links, images, or files, AI extracts the key content so you can capture it quickly
- Similarity matching — Text embeddings (numerical representations of your content) are generated to find related thoughts and surface connections
- Account management — Authentication, password resets, and service communications
3. AI Processing and Third-Party Providers
ClearMind uses AI to power its core features. Your content is processed by the following providers:
- Anthropic (Claude) — Used for categorization, summarization, and some chat responses
- Google (Gemini) — Used for chat responses, content extraction from links/images/files, and generating text embeddings
- Tavily — Used for web search when the AI needs to find current information during a chat
Important details about how these providers handle your data:
- Your content is sent to these providers via their APIs solely to process your requests
- Per their API terms of service, these providers do not use your data to train their models
- These providers do not retain your data beyond the time needed to process each request
- All communication with these providers is encrypted in transit
- API keys are stored server-side only and are never exposed to your browser or device
4. Data Storage and Security
Where your data is stored
Your data is stored in Supabase, a managed cloud infrastructure platform. Supabase provides the database, authentication, file storage, and server-side functions that power ClearMind.
How your data is protected
- Row Level Security (RLS) — Every database table enforces row-level security policies, ensuring you can only access your own data. No user can ever see another user's content.
- Authentication — All API requests are verified with JSON Web Tokens (JWT). Unauthenticated requests are rejected.
- Encryption — Data is encrypted in transit (TLS/HTTPS) and at rest.
- Rate limiting — Server-side rate limiting prevents abuse of API endpoints.
Offline caching
ClearMind works offline as a Progressive Web App (PWA). When offline, your data is cached locally on your device using your browser's storage (localStorage and service worker caches). This data stays on your device and syncs with the server when you reconnect.
5. Data Sharing
We do not sell your personal data to third parties.
We share your information only in the following circumstances:
- AI processing — As described in Section 3, your content is sent to AI providers to power the app's features
- Infrastructure providers — Supabase hosts your data as part of providing the service
- Legal requirements — We may disclose information if required by law, court order, or governmental request
- Safety — We may disclose information if we believe it is necessary to prevent harm or protect rights
6. Your Rights and Choices
You have control over your data:
- Access and edit — You can view and edit all of your thoughts, tasks, notes, and other content within the app at any time
- Delete individual items — You can delete any thought, task, or note. Deleted items are soft-deleted (recoverable for a period) and then permanently removed
- Delete your account — You can delete your entire account and all associated data from the Profile screen. This action is permanent and removes all of your data from our systems
- Disconnect integrations — You can disconnect Google Calendar at any time from your settings
- Export — You can request an export of your data by contacting us
7. Cookies and Tracking
ClearMind uses minimal browser storage:
- Authentication tokens — Stored in your browser to keep you signed in
- Local data cache — Stored for offline functionality and performance
- Preferences — Your display settings (like light/dark mode) are stored locally
We do not use advertising cookies, third-party tracking pixels, or analytics services that track you across the web.
8. Children's Privacy
ClearMind is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us and we will delete it.
9. Data Retention
We retain your data for as long as your account is active. When you delete your account, all of your data is permanently deleted from our systems. We do not keep backups of deleted accounts.
AI providers process your data in real time and do not retain it after processing, per their API terms of service.
10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make significant changes, we will notify you through the app or by email. The "Last updated" date at the top of this page indicates when the policy was last revised.
Continued use of ClearMind after changes are posted constitutes acceptance of the updated policy.
